Minutes of the Bywong Community AGM held on 28 October 2008
Welcome and apologies

Minutes of the 2007 Annual General Meeting
Minutes were accepted as presented. Moved Guy Cotsell; seconded Jean-Pierre Favre. Carried.
President's report
Accepted as presented. Moved Morag Cotsell; seconded Jim Greethead. Carried.
Treasurer's report
Accepted as presented, with thanks to outgoing Treasurer Dennis Ryan. Moved Guy Cotsell; seconded Darryl Bourke. Carried.
Election of Office Bearers:
The current Committee positions were declared vacant and the meeting was then chaired by Guy Cotsell.
Nominations for all committee positions for the next 12 months were called for, and resolved as follows:
President -Nora Stewart. Moved Darryl Bourke; seconded Morag Cotsell. Carried.
Vice-President - Darryl Bourke. Moved Guy Cotsell; seconded Anne Goonan.
Secretary- Anne Goonan. Moved Jean-Pierre Favre; seconded Maria Taylor. Carried.
Treasurer - Clive Boughton. Moved Carol Boughton; seconded Morag Cotsell. Carried.
Committee members- Jean-Pierre Favre, Morag Cotsell, Bernie Greethead and Guy Cotsell. Guy Cotsell agreed to continue as Public Officer for the Association. Nora Stewart as President resumed the Chair.
Other business
Motion re: merger with Wamboin Community Association. The following motion was advertised a month prior to the AGM:
“This meeting authorise the Community executive to undertake discussions with the Wamboin Community Association with a view to negotiating an amalgamation of the two associations, subject to the following provisos - that the name "Bywong" be included in the name of any new resulting new association, and that the name "Bywong" be retained, at least in the short term, in the events known as "Bywong Car Boot Sale" and "Bywong Trivia Challenge".
Correspondence was received from Wamboin Community Association on the 26th October to the effect that they would prefer to support the Bywong Community Association to remain independent, rather than pursue a merger of the two groups.
Therefore, this motion was withdrawn prior to the commencement of the meeting.
The AGM was declared closed at 8:45pm.

A General Meeting was then opened for discussion of ordinary business.
Membership fees - the issue of a membership fee was raised and discussed. The decision taken by the meeting was for the Association to have an initial $1 joining fee and a $1 annual fee for this first year (2008-2009), with the fee being $2 for each year after that. The fee is to be levied at each AGM or other major annual event like the Car Boot Sale, where the fee could be collected and membership contact details updated. All attendees at the AGM paid $2 each and are now all financial members of the Association.
Meeting times - meeting frequencies were discussed and suggestions included political presentations, meeting with local Councillors , discussion of draft LEP, more social activities including a family picnic. Radio announcements on Lake FM were offered to help promote meetings. It was agreed that meetings should be purpose-based and that focus should be on the existing program of events, supplemented by speakers of interest or where a serious issue needs to be resolved.
Christmas drinks - the next community event would be Christmas drinks in early December. Date and details to be decided through discussion by the Committee.
